The Department: Office of the COO and Workplace Experience

The Office of the COO is responsible for driving operational maturity at Gemini, collaborating cross functionally on rigorous organizational effectiveness including communication and transparency, strategic prioritization, tracking key metrics and objectives, developing reporting structures, all while holding the organization accountable for their respective areas of ownership.

The Role: Senior Associate, Community and Events

Events represent an important opportunity for us to strengthen our culture, foster community engagement and offer best in class experiences for our clients. We are building a Community and Events function at Gemini that will be responsible for driving the strategy and execution of internal client and external client events at Gemini. We are seeking a highly motivated, dynamic team-oriented hire to amplify our values and create employee experiences that cultivate a sense of community to help our employees who are in person, as well as remote, feel connected. This person will also partner with our client-facing teams to produce high quality client events that help tell the Gemini story. In addition, the events desk will own Gemini’s internal swag vendor relationship - via KOTIS.

Domestic and international travel may be required from time to time. The events desk will manage and set budgets for company wide events. While partnering with various internally-focussed and client-facing teams across the firm, this hire will inspire, design, coordinate, handle logistics, track, plan and host events that span these 3 Areas of Focus:

Community and Internal Events: Develop and drive our vision for community events across the United States and all Gemini offices around the world. All events should have a social and business objective to help our hybrid workforce connect, build trust, grow their internal network and grow their business knowledge. Conceptualize, plan and execute virtual and in-person employee events such as Happy Hours, Gemini Socials, Game and Film nights to drive employee engagement.

Client Events: Work closely with the Business Development team and other internal and external stakeholders to plan and execute institutional client events in multiple locations and formats. Scope of role includes various opportunities to expand professional networks while helping shape Gemini’s institutional client strategy and growth initiatives.

Conferences & Industry Events: Assist the MarComms team with event logistics for all global industry conferences & speaking engagements including onsite setup and logistics, booth and vendor management, conference vetting, cross-functional team alignment for onsite activations.


Responsibilities:

  • Lead, project plan and execute regional and global all company events that build upon Gemini’s core values and strengthen its culture
  • Expand Gemini’s existing events program of events with fresh new concepts that drive engagement
    • Happy Hours, Game nights, Team building etc

  • Day to day management of the event programming: including virtual, hybrid and in-person events
  • Drive entire project lifecycles, from event vision and concept to timeline management, budgets, execution and reporting, leading teams responsible for execution of events
  • Facilitate cross team collaboration and communication with internal stakeholders and external resources.
  • Serve as a Gemini culture ambassador, and find opportunities to collaborate and partner with other culture leaders
  • Collaborate with cross-functional teams to ensure smooth execution of events
  • Plan and execute regional and global community building events throughout the year
  • Gain full-knowledge of event spaces & studios, layout options, as well as functional details and storage locations of all event assets
  • Provide post event feedback and improvement areas
  • Develop and implement new processes and programs to help streamline event management across regions
  • Maintain Gemini’s Events Calendar

Qualifications:

  • Minimum 3 years proven experience leading complex events for either in house or at a premier experiential agency
  • Excellent written and verbal communication skills and influential presenter
  • Strong attention to detail, organizational planning, and time management skills
  • Project development and management experience, including developing strategies, operational plans, vendor management and compelling presentations
  • Creative approach with an obsession for details and strive for outstanding and excellent execution
  • Comfortable navigating through ambiguity while continuing to set objectives and goals
  • Ability to quickly problem solve to deliver great experiences for clients and employees
  • Capable of business travel when needed
  • Able to effectively work with multiple remote teams across a region
  • Experience setting and managing budgets
  • Detail-oriented, flexible, creative, fast-paced, customer-first, able to work effectively with both C-suite management as well as junior support staff
