Web3 Office Coordinator

We are now seeking a part-time office coordinator for our busy EMEA headquarters based in Dublin, Ireland. This may be a part-time (minimum of 20 hours, within our business hours of Monday-Friday, 9am-6pm) or full-time role depending on candidate availability.

Duties:

  • Help maintain a safe, pleasant and productive office environment.
  • Ensure the office is well-stocked with groceries - milk, coffee, water, snacks etc.
  • Primary liaison with building management for requests, repairs, queries etc.
  • Provide general office administrative support as necessary, including but not limited to: scheduling internal group meetings/events, maintaining calendars, book and manage domestic and international travel for EMEA team, stationery inventory, doing research, ad hoc HR administration.
  • Provide tech and work space support: equip meeting rooms, organise hardware for new joiners, oversee cybersecurity policies, troubleshoot problems, primary liaison with SaaS suppliers.
  • Office gatekeeper: greet external guests, prepare meeting spaces for external meetings, receive and sort all mail and deliveries, answer incoming calls.
  • Implement appropriate Covid-19 return to work protocols, including overseeing staff rotas and internal booking system for meeting spaces.
  • Support for finance team: manage office petty cash budget; ensure accurate, timely reporting to Finance Department, expenses receipts collection.
  • Identify opportunities for process and office management improvements, and design and implement new systems.

Skills & Requirements:

  • 2 years’ relevant experience.
  • Bachelor’s degree.
  • Self-starter, organised, resourceful, motivated and able to work independently.
  • Exceptional work ethic and motivation to be in a fast-paced environment.
  • Passionate about creating a positive employee experience.
