The Role
We are seeking a detail-oriented, self-motivated Client Services Coordinator to support our Director of Client Service Teams. This is a full-time contractor role, working remotely and aligned to U.S. business hours.
You will be responsible for several analytical and administrative tasks, including but not limited to assisting with the prospect quoting process, organizing and analyzing data from historical quotes, coordinating and analyzing team availability, having regular zoom/google meet videos with the Director of Client Service teams, and handling administrative tasks within Karbon and Google Sheets. You must have strong English proficiency (written and verbal), excellent attention to detail, and be comfortable learning new technologies, software, and processes. The ideal candidate is an analytical thinker with a drive for innovation and process improvement. Desired working hours are 7:30 a.m.–4:00 p.m. EST (6:30 p.m.–2:30 a.m. IST).

Your Typical, Atypical Day
In this role you will:
Assist the Director of Client Service Teams with the prospect quoting process, including preparing, tracking, and updating quote data.
Organize, maintain, and analyze historical quote data to identify trends, improve accuracy, and support decision-making.
Coordinate and analyze team availability and utilization to help inform staffing decisions and capacity planning.
Maintain and update Google Sheets, Airtable, and Karbon workspaces, ensuring data is accurate, up-to-date, and easy to use for stakeholders.
Support various administrative and operational tasks for client service teams (e.g., tracking action items, managing shared trackers, preparing reports).
Collaborate with internal stakeholders across finance, client services, and operations to ensure smooth handoffs and clear communication.
Proactively identify opportunities to streamline workflows, automate manual steps, and recommend process improvements.
Understanding and embracing the agile and scrappy nature of startups is essential.
About You
You have strong English communication skills, both written and verbal, and are comfortable working with U.S.-based teams.
You are naturally curious and analytical, enjoy working with data, and like to understand the “why” behind the numbers.
You are highly organized, detail-oriented, and able to manage multiple tasks and priorities without dropping the ball.
You are a self-starter who takes initiative and enjoys finding better, more efficient ways of doing things.
You are comfortable learning and using new tools, software, and systems.

Your Experience & Background
Bachelor’s degree in Business, Finance, Economics, Engineering, Data/Analytics, or a related field preferred.
2–4+ years of experience in a coordination, operations, analyst, or client services role (professional services or startup environment is a plus).
Strong proficiency with Google Sheets or Excel (filters, pivot tables, basic formulas); experience managing large data sets is highly valued.
Experience working with collaboration or project management tools (e.g., Karbon, Asana, Monday.com, ClickUp, or similar).
Experience with Airtable is helpful, but not required
Demonstrated ability to learn new systems quickly and adapt to evolving processes.
Clear and professional communication skills, with the ability to work effectively in a remote setting based on trust and accountability.
High degree of confidentiality and discretion when working with sensitive client and internal information.
