Web3 Office Manager

The Opportunity:

We're seeking a creative and dynamic Office Manager to join our team in Hong Kong. As our office manager, you will play an integral role in ensuring our workplace is a hub of productivity, collaboration, and employee satisfaction. As well as providing Executive Assistance to several teams, you'll be responsible for curating and maintaining an inspiring office environment that reflects our company culture and supports our employees' needs.

Role Responsibilities:

Executive Assistance

  • Provide EA support for the Head of HK office
  • Support with events and conference organisation for the busy Business Development team
  • Provide administrative support to enable BD sales
  • Process travel expenses and invoices

Office Management/Office experience

  • Work closely with HR to align office experience with company culture and values
  • Oversee day-to-day office operations and all that is entailed in creating a great office experience, including organising weekly massages, updating plants and office decor, creating and maintaining comfortable and functional break areas and collaborative spaces.
  • Liaise with contractors and building management with regards to office maintenance, cleanliness, rental negotiations, and any office renovation/expansion needs.
  • Manage office supplies equipment (e.g. computers and accessories) and vendor relationships, and consider cost effectiveness of all initiatives.
  • Manage office amenities, from pantry supplies to the tea lady service.

Global Travel Management:

  • Coordinate arrangements for all work-related travel for the company - including individual trips and well as quarterly whole-company trips.
  • Book flights, hotels, and ground transportation across multiple time zones and countries.
  • Manage travel visas and necessary documentation for international trips
  • Stay informed about global travel restrictions, entry requirements, and health regulations
  • Optimise travel budgets and negotiate with travel providers for favourable rates in accordance with the Auros travel policy.

Our ideal candidate will have:

  • 3+ years of experience in office management and/or executive assistant roles
  • Fluency in English and Cantonese
  • Advanced proficiency in G Suite Apps and Microsoft
  • Excellent organisational and time management skills
  • Strong written and verbal communication abilities
  • Proactive problem-solving skills
  • Flexibility to adapt to changing priorities and work under pressure
