Bitpanda is hiring a Web3 Workplaces Coordinator

Your mission
As a Workplaces Coordinator and part of our passionate Workplaces Team you will create and maintain an enjoyable work environment for our employees by ensuring the smooth running of our offices (local & international) on a day-to-day basis. In this role, you will be the point of contact for all of our employees, whether they are located in our new Barcelona Office , in one of our international hubs or in our HQ in Vienna. Together with the team, you will come up with innovative ideas to empower our Panda community and give them a space for creative and collaborative working.
What you’ll do
- Being responsible for steering, controlling, administering and driving all facility related activities (maintenance, repairing, H&S, etc.) with a focus on our Office in Barcelona but also for our other international hubs and our HQ.
- Being responsible for steering, controlling, administering and driving all office related services (reception, mail, travel, office supplies, office stationery, cleaning, look & feel, employee service, hospitality, etc.) with a focus on our Office in Barcelona but also for our other international hubs and our HQ.
- International vendor management, including steering and completing quality checks on our key suppliers. Optimising the internal service to our employees and guests/visitors. Liaise vendors to SLAs are fulfilled and optimised (quality management)
- Administering and effectively managing all resources for all offices, keeping track of budget spending and raise POs.
- Providing facility & office management service with a great dedication to “customers” (i.e. employees) and office infrastructure.
- Implementing & maintaining community services for all bitpanda offices
- Organising and hosting Bitpanda events (internal & external)
- Carrying out and supporting on Workplaces related projects
- Workplace related administration, documentation and archiving. Accurately handle administrative duties and acting as the key interface point of contact for other departments
Who you are
- At least five years of relevant experience in office management and proven track record with a focus on facility & office management.
- Very knowledgeable and experienced in implementing and running facility related services
- Organised and structured with project management skills.
- Experienced in steering and managing suppliers.
- Strong attention to detail, with ability to ‘make things happen´ with your excellent problem-solving skills and expertise
- Good command of the English with a friendly, respectful, well mannered and service oriented approach (certificate required)
- German language skills are an advantage (certificate required)
- Completed education required (i.e. completed high school, completed apprenticeship)
- Fire safety training (fire warden, etc) as an advantage
- H&S training as an advantage
- Ability to travel internationally
