The Contract Administration Specialist will play a pivotal role in ensuring the effective management, organization, and administration of the company’s contracts. This position requires a detail-oriented professional who can navigate complex contractual documents, collaborate with cross-functional teams, and maintain precise records to support the company’s operational and legal compliance. The ideal candidate will have a strong background in contract administration, excellent organizational skills, and a proactive approach to managing contractual obligations.  

This role is expected to start at $60,000 per year.

Job Duties and Responsibilities:

    • Contract Administration & Management:
    • Track the status of contracts throughout their lifecycle, ensuring timely follow-up on pending items with relevant departments.
    • Log and maintain contract information accurately within the company’s contract management system, ensuring all data is up-to-date and easily accessible.
    • Extract and manage key dates (e.g., renewals, expirations) and critical information from contracts to ensure proactive tracking and reporting.
    • Set up and manage calendar invites for important contract-related dates, ensuring stakeholders are informed and prepared.
    • Coordinate the contract signature process using electronic signature platforms, ensuring smooth and timely execution of agreements.
    • Prepare and manage Purchase Requisitions (PR) and Purchase Orders (PO) related to contracts, ensuring alignment with budgetary and operational requirements.
    • Assist in the setup and management of new vendors in NetSuite, coordinating with relevant departments to ensure seamless onboarding.

    • Documentation & Record Keeping:
    • Maintain organized, accurate, and up-to-date records of all contractual documents and correspondence, both digital and physical, ensuring easy retrieval and compliance with company policies.
    • Implement and adhere to standard operating procedures for organizing, scanning, and storing contract-related documentation, ensuring consistency and accuracy.
    • Ensure timely and accurate data entry of contract information into the company’s contract management system, minimizing errors and ensuring data integrity.
    • Prepare and distribute regular contract status reports to stakeholders, highlighting critical dates, upcoming renewals, and potential issues.
    • Support audit preparations by ensuring all contract documentation is complete, well-organized, and readily available for review.

    • Collaboration & Communication:
    • Work closely with Legal, Accounting, and other relevant departments to obtain necessary documentation and complete contract files in a timely manner.
    • Coordinate with various departments to collect and organize supporting documentation for contracts, ensuring all necessary information is included.
    • Maintain effective communication with all levels of staff, fostering positive working relationships and ensuring alignment on contract-related matters.
    • Escalate contract-related issues or questions to the appropriate team (Legal, Finance, Operations) for resolution, ensuring timely and effective problem-solving.

    • Administrative Support:
    • Assist in scheduling and coordinating meetings related to contract reviews or discussions, ensuring all participants are informed and prepared.
    • Maintain and update contract-related checklists and process documents, ensuring they reflect current practices and are accessible to relevant stakeholders.
    • Help prepare materials for contract-related meetings or presentations, ensuring they are accurate, professional, and aligned with company standards.
    • Assist in generating standard reports on contract status, expirations, and renewals, providing stakeholders with the information needed to make informed decisions.
    • Additional duties as required.

Qualifications

    • Education:
    • Bachelor’s degree in Business Administration, Legal Studies, or a related field. Equivalent experience may be considered.

    • Experience:
    • 3-5 years of experience in contract administration, legal support, or a related field.
    • Experience with contract management software and tools (e.g., NetSuite, DocuSign) is highly desirable.

    • Skills:
    • Strong organizational and time-management skills, with a keen attention to detail.
    • Excellent communication and interpersonal skills, with the ability to collaborate effectively across departments.
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with document management systems.
    • Ability to manage multiple tasks and priorities in a fast-paced environment.
    • Understanding of legal terminology and contractual language is a plus.
    • Experience in contract administration, preferably in technology, energy or related sectors.
    • Familiarity with blockchain technology and basic understanding of bitcoin mining operations is a plus.
    • Initiative and the ability to work independently with minimal direct supervision.
