Web3 Workplace Operations Manager

We are looking for an Office Manager to assist the growing business in the coming months.

About the position

Groma is looking for an experienced Workplace Operations Manager with exceptional communication and collaborative skills. We are growing at lightning speed and need a self-starter that is ready to take ownership of day-to-day tasks that keep our office running and assist the leadership team on an as-needed basis.. This is a new role that will provide a unique opportunity to work with every team member across Groma. A successful candidate will have strong organizational and operational skills, and welcome the challenge of building spaces, programs and teams from the ground up

Job Functions

  • Own all facility-related responsibilities including but not limited to: vendor relationships (e.g. information technology, janitorial, office facility repairs, pantry), preventative maintenance, office improvement projects, etc.
  • Understand and maintain our information technology (internet, phone, A/V) setup
  • Provide IT support to team members as needed with their initial setup, as well as ongoing issues that may arise
  • Develop and partner with the team on internal office policies (e.g., COVID protocols, entry cards, conference room scheduling, etc.) and guidelines
  • Partner closely with Director of Workplace Experience to develop and implement ever evolving strategy as it relates to Workplace and Employee Experience
  • Develop and manage inventory & stocking system to ensure the office is fully stocked with supplies, snacks, coffee and other beverages
  • Maintain office design, and appearance to create the best environment for employees and visiting clients
  • Maintain organization and cleanliness of the facility, as well as upkeep of office equipment including copiers, scanners, printers, shredders, kitchen appliances and supplies, etc.
  • Own business travel process and delegate to Office Coordinator accordingly
  • Plan events for the company, ranging from happy hours to larger team building events, parties and gatherings.
  • Be creative in ways to make the office environment productive and enjoyable for our team members, be that find clever ways to recognize people on their birthdays, surprise in-office micro-events (ice-cream parties) or other ideas we haven’t yet thought of.
  • Assist in onboarding new hires by acting as a point of reference on their first day to help them get settled in, find their way around and overall feel welcome in their new environment.

Experience

  • 2-4 years experience in an office management role, preferably at a high-growth start-up
  • Experienced in project management, vendor procurement and contract negotiation
  • Ability to handle multiple projects and adjust quickly to competing demands and deadlines to support numerous people
  • ​​Experience with Microsoft Office and/or Google Suite including Excel/Sheets, Word/Docs and PowerPoint/Slides
  • Excellent written and verbal communication skills
  • Ability to prioritize and work independently if needed
