About the Role
We’re looking for a rockstar Events Management Specialist to join our Marketing team to help plan, deliver and execute on conventions, tradeshows and live events that Horizon will participate in - mostly for Skyweaver, and from time to time, Sequence as well. The Events Management Specialist we’re seeking is an execution specialist that isn’t afraid to get hands-on with doing the groundwork of delivering and executing on the various components of a live event. You will work alongside an awesome and collaborative team to help guide and support you.
As we grow our Marketing team, we are looking for a self-starter that can be both hands-on and strategic. You will report to the Director of Community and Director of Marketing and collaborate with the extended marketing team to execute events and tradeshows to ultimately drive awareness and new acquisitions. You are detail-oriented, tactful and timeline-driven. Yet you can think high level to plan out various events of varying sizes and audiences and try to make a nice experience for any visitors coming to our booths and live presences.
As the Events Management Specialist, you'll be responsible for building and executing the plans for our largest industry conferences like PAX, GDC, TwitchCon, Gamescom, and others. You will be the quarterback for your programs, rallying and coordinating the marketing team, product team, and business development into making the most out of each event.
Responsibilities
- Event Management: We're talking about the plan for our presence at the event, the logistics, promotional materials, booth presence, creatives, assets, swag and merch production, invitation management, travel and accommodations booking and management, and much more.
- Internal comms: Keep a close communication loop with the internal stakeholders of each event: marketing, sales, BD and leadership. Keep them informed on the plan, resources and blockers we have and get what you need from each part of the team to make your events successful.
- Budget tracking: You'll need to build your investment and ROI plan per event, track expenses, negotiate contracts and ensure payment of invoices with accounting.
- Research: You'll have to research the various events we should attend or sponsor, as well as other opportunities to consider, and make recommendations internally.
- Internal collaboration and coordination: You will work with our Marketing and Community teams on the comms plans around the events, and with our graphic design team to ensure that we deliver our projects and campaigns on time and build excitement around these events with our social, CRM, and community team to get the best communication plan published.
- Lead the conception, creation, organization and execution of external events while supporting the actions of the marketing and community teams.
- Fluent in English (written and spoken)
- Team player, positive attitude, strong verbal, and written communication skills and excellent interpersonal skills.
- Ability to multitask, managing priorities and concurrent projects, meeting strict deadlines in a busy and ever-changing environment
- Knowledge of Google Suite and MS Office Suite (Excel, Outlook, Word, PowerPoint, Teams)
- Able to work independently
- Availability to work overtime from time to time when executing events
- Manage the cost projection and budget analysis for each event; oversee booking of floor space/booths and floor plan creation; booking audiovisual requirements; oversee supplier and vendor management; complete required paperwork and share with appropriate departments
Minimum qualifications
- Event management is non-negotiable
- 2-3 years of relevant experience in event communication or event planning department
- Experience in managing events in B2B and B2C environments is a must
- Highly organized: you can multitask without dropping the ball and you always meet deadlines
- You are resourceful and LOVE to take initiative
- You like to innovate and you’re driven
- You’re able to manage stress - let's face it, events can be stressful
