Job Summary
The Administrative Services Coordinator will provide daily support to the Premium Ticket Operations management team by performing administrative tasks including, but not limited to, preparing contracts, managing client records, performing ticketing duties, and preparing various reports.
Essential Duties

  • Administer and prepare premium inventory license agreements, amendments/addenda, and other legal documents
  • Administer and prepare Lexus Club membership agreements
  • Audit agreements that have been processed to ensure contract terms are accurately reflected in our ticketing system and corresponding spreadsheets
  • Route signed documents for execution and distribute fully executed copies accordingly
  • Create and manage premium member accounts which include building new accounts in ticketing system, maintaining and updating contact information including primary email addresses, updating contract terms, and adding/removing additional contacts in account
  • Perform ticket operations tasks such as creating invoices, processing payments, selling in events, and checking that events are properly sold in
  • Take inventory and order all office supplies and equipment as needed
  • Review, mail, and email default and termination letters to clients
  • Maintain and organize filing system: create new files, update labels when changes occur, scan and purge dead files
  • Maintain departmental budget book
  • Assist with other special projects as needed

Required Qualifications (Job Knowledge, Skills, And Education)
  • A minimum education level of: High School Diploma or its equivalency (Bachelor of Arts/Sciences Degree Preferred)
  • A minimum of 2-4 years of related work experience.
  • Proficient with Microsoft Outlook, Excel and Word with the ability to learn required business systems
  • Excellent written and verbal communication skills
  • Ability to work under pressure and multitask in fast-paced environment
  • Ability to prioritize workload, analyze and solve problems
  • Ability to write reports and business correspondence
  • Work efficiently and adapt to changes
  • Highly organized, resourceful, detailed-oriented, and can learn quickly
  • Must be able to work evenings, weekends and holidays, as needed
  • Must be vaccinated.

Preferred Qualifications
  • Experience with AXS ticketing software

Pay Scale: $22/hr - $25/hr
