The Role

Fortunafi is hiring a Senior Executive Assistant to the CEO. In this role, you'll be a true EA business partner to our CEO by managing his core calendar, the coordination and logistics of our executive team meetings, board meetings, company-wide planning processes, etc. You'll partner closely with other Fortunafi managers to ensure our CEO is always set up for success. Responsibilities

  • Reporting directly to the CEO, you'll work closely with Fortunafi’s leadership team to define and execute key strategic initiatives in addition to working on special projects. This role will be based in our Miami office.
  • Proactively manage, assess, and predict the day-to-day needs of the CEO to ensure he is prepared and organized for all internal and external meetings and events
  • Seamlessly manage email coordination, calendar scheduling, travel, expense reporting, and a wide variety of priorities for the CEO
  • Contribute to Fortunafi leadership meetings and offsites by assisting with the production of materials and pre-reads, note-taking, and management of action items
  • Coordinate leadership events, Board of Directors meetings, team off-sites and conference speaking engagements, as well as any associated travel itineraries/accommodations and venue reservations
  • Provide decision support by conducting in depth research and analysis, and clearly presenting recommendations
  • Prepare presentations for internal and external audiences; this typically involves designing highly compelling presentations for company-wide meetings and speaking engagements
  • Manage critical aspects of deliverables, such as drafting correspondence, in order to facilitate our ability to effectively execute on top priorities

Requirements

  • Previous executive administrative or operational experience at a high growth company
  • Exceptional organizational skills with superb attention to detail and a strong ability to execute tasks
  • "Can do" positive attitude—you're willing to do whatever it takes to make our CEO successful
  • A proven ability to:
    • Handle sensitive information and situations with care and confidence
    • Quickly shift tasks and priorities as needed and work efficiently across various roles and teams
    • Communicate, perform, and react well under pressure or with ambiguity
    • Optimize processes to make them more efficient
    • Anticipate and respond to the needs of others before they arise

  • Extensive experience with email management and strong familiarity with Excel/Sheets
  • Extensive experience with scheduling, planning and travel logistics, particularly with complex international travel
  • Excellent written and verbal communication skills; strong time management abilities
  • Strong administrative writing and reporting skills
  • Proactivity and confidence to work closely with and adapt to the >
  • High degree of responsiveness, strong decision making ability, and excellent attention to detail
  • Ability and willingness to provide executive support beyond the scope of a typical work day. The ideal candidate will be able to maintain a strong, responsive flow of communication with executives in different time zones, etc.
