Web3 Executive Assistant

Compensation: $81k - $82k estimated

Location: CA Los Angeles, California, United States

We are currently seeking an Executive Assistant to support our Founder/CEO at OP3N with various administrative and personal tasks. As an integral member of our team, you will work closely with all departments to manage the Founder/CEO's daily schedule, personal tasks, and other administrative responsibilities. This is a full-time hourly overtime eligible position, and the assistant must be located in Los Angeles.

Responsibilities:

  • Manage the CEO's professional and personal scheduling, including agendas, emails, phone calls, client management, and other company logistics.
  • Maintain and update the executive's calendar throughout the day to accommodate constant changes.
  • Own execution of tasks and communications, partnering with Asia-based EA to confirm continuity of requests and communications.
  • Track and remind calls/meetings on a daily basis.
  • Respond promptly to a high volume of emails and messages.
  • Handle reservations and updates for domestic and international hotels, restaurants, flights, and events.
  • Coordinate and organize events for the executive based on needs.
  • Manage and prepare materials for public events and conferences.
  • Handle and track the executive's expenses, ensuring accurate record-keeping and adherence to company policies.
  • Conduct or assist in research as required by the reporting manager.
  • Efficiently handle various ad hoc requests.
  • Work on following up on signatures, execution of documents & clients / investors relationships and needs.

Requirements:

  • Minimum of 2 years of administrative experience supporting C-suite executives, ideally in the music or film industries.
  • Strong knowledge of Google Docs/Google Suite and Google Calendar.
  • Valid Driver's License.
  • Proficiency in one or more Asian languages, such as Mandarin, Korean or Japanese.
  • Excellent communication skills via phone, email, and chat.
  • Superior organizational skills.
  • Excellent Note-taking skills.
  • Smart, motivated, personable, and detail-oriented.
  • Demonstrates excellent follow-through skills.
  • Ability to thrive in an extremely fast-paced environment.
  • Capable of handling multiple tasks simultaneously.
  • Able to work on weekends as necessary since our clients and partners are global and be able to be on call for any urgent tasks or needs.
