It's an exciting time for the Foundation as we enter a new stage of our growth (with a founding team of 30 and looking to double over the coming year) - as such, we are hiring an experienced EA to support this growth by owning Exec Support and deploying creative strategies that empower our executives to win. As our first ever EA hire, you’ll be a founding member of this team, with broad latitude to build out executive and administrative support practices. You’ll be supporting a driven, accomplished, and collaborative leadership team - your work will be critical in creating leverage that enables them to go further & faster.

Role Overview
As an Executive Assistant, you will be the right hand to our Executive Director (James) and provide critical support to other senior executives. You will manage a wide range of administrative and executive support-related tasks, ensuring the leadership team operates efficiently and effectively. This role requires a proactive, detail-oriented, and highly organized individual who can handle confidential information with discretion.

This role will sit within the People Team, reporting into the Head of People (Ceri), with a dotted line to the ED.

Key Responsibilities

    • Calendar Management: Efficiently manage complex calendars, including scheduling meetings, resolving conflicts, and ensuring the leadership team is well-prepared for all engagements
    • Email & Communication Management: Screen and prioritize incoming communications, draft responses, and manage correspondence on behalf of the executives
    • Travel Coordination: Arrange domestic and international travel, including flight bookings, accommodations, itineraries, and expense reporting.
    • Meeting Support: Organize and prepare for meetings, including setting agendas, taking minutes, and following up on action items
    • Project Support: Assist with special projects, providing research, data analysis, and support as needed
    • Event Planning: Organize internal and external events, from team meetings to larger company-wide events and off-sites
    • Stakeholder Management: Act as a liaison between the Executive Director, senior leadership, and key internal/external stakeholders
    • Document Preparation: Create, edit, and manage documents, presentations, and reports with a high degree of professionalism and accuracy
    • Confidentiality: Handle sensitive information with the utmost discretion and confidentiality
    • Office Management: Assist with general office management duties as required, including ordering supplies and coordinating with vendors

Qualifications

    • Experience: 5+ years of experience as an Executive Assistant, preferably in a startup or fast-paced environment. Remote/distributed + global work experience preferred
    • Technical Skills: Proficiency with Mac, Slack, Notion, and Google Workspace
    • Communication: Exceptional written and verbal communication skills, with the ability to interact effectively with all levels of the organization
    • Organization: Strong organizational skills with the ability to multitask, prioritize, and meet deadlines in a fast-paced environment
    • Problem-Solving: A proactive approach to problem-solving with strong decision-making capability
    • Discretion: High level of integrity and discretion in handling confidential information
    • Adaptability: Ability to thrive in a rapidly changing environment and manage ambiguity
