The Opportunity
Solana Foundation is seeking an Events Planner to join our team! We're looking for someone who thrives in fast-paced, global environments and can help produce world-class conferences, summits, and bespoke experiences across multiple regions.
To be successful in this role
You will:
Serve as a strategic partner to the Head of Events and the wider Events Team, contributing to end-to-end planning and decision-making.
Plan and execute global events ranging from intimate 20-person gatherings to 6,000+ attendee conferences.
Own critical event details: vendor management, agency, venue, décor, catering, entertainment, transportation, registration, attendee management, equipment, run of show, and promotional assets.
Conduct vendor research, source partners, and support contract and rate negotiations.
Lead and organize cross-functional planning meetings across time zones with product marketing, corporate marketing, partner marketing, production, and external vendors.
Manage event timelines, deliverables, and workflows, ensuring deadlines across logistics, creative, marketing, and sponsorship teams are met.
Communicate objectives, decisions, risks, and status updates clearly and proactively.
Build and manage budgets, track spend, reconcile invoices/POs, and ensure financial accuracy.
Develop event decks, production documents, staff schedules, and show operation guides.
Travel globally and lead on-site operations: setup, live execution, vendor oversight, attendee experience, and teardown. Able to travel up to 50-65% willing to travel and work evenings/weekends.
Manage and communicate across multiple channels (email, slack and messenger apps) in a fast-paced environment.
Run pre- and post-event evaluations and produce insights, reports, and key recommendations.
Identify innovative concepts, emerging trends, and opportunities to elevate the Solana event experience.
Maintain and cultivate a global vendor network that aligns with Solana’s event standards of quality, creativity, and reliability.
You ideally have:
5+ years of experience planning and producing events of all sizes (20–6,000+), including high-profile offsites, global conferences, and unconventional/experiential activations.
Mastery of end-to-end event planning and production, including on-site operations, technical builds, logistics, and vendor management.
Strong communicator who quickly builds rapport with stakeholders and cross-functional teams.
Confident operating independently while collaborating across marketing, BD, design, production, and leadership.
Strong global vendor management skills, with experience sourcing and evaluating partners across regions.
Ability to see the big picture while flawlessly managing details in ambiguous, high-velocity environments.
Exposure to Web3, finance, luxury, or retail environments is a strong plus, you understand the nuance of technical audiences, high-end hospitality, and storytelling-driven experiences that command attention.
Expertise with event technology platforms, tools, workflows, and systems.
Creativity, resourcefulness, operational discipline, and a calm, solutions-oriented approach under pressure.
