About the Opportunity The Institutional Operations Lead is responsible for overseeing the process of completing Due Diligence Questionnaires (DDQ) required by potential clients assessing our company’s suitability as a service provider. This crucial role ensures that the DDQs accurately reflect the company’s capabilities, compliance, and risk management strategies, providing confidence to potential clients regarding our operational integrity and stability.
What You’ll Be Doing
- DDQ Coordination and Management: Lead the completion of all DDQs from potential clients, ensuring that each questionnaire is meticulously filled out to accurately reflect the company's qualifications, compliance, and operational integrity.
- Cross-Departmental Collaboration: Engage with departments such as Legal, Compliance, Risk Management, IT, Finance, Cyber and Business Operations to compile necessary and accurate information for DDQs, ensuring alignment with both internal standards and client requirements.
- Documentation Control and Process Optimization: Develop and oversee a systematic approach for managing DDQ documentation, including maintaining a repository of responses and supporting evidence to streamline future submissions.
- Quality Assurance: Implement quality control measures to ensure all DDQ responses meet or exceed the standards expected by potential clients, adhering to regulatory and industry benchmarks.
- Team Leadership and Development: Direct and develop a team dedicated to the DDQ process, setting objectives, conducting reviews, and facilitating professional development.
- Stakeholder Engagement: Serve as the primary liaison for all DDQ inquiries from potential clients, managing communications to ensure clarity and prompt resolution of concerns.
- Reporting and Analytics: Regularly report to senior management on the status and effectiveness of the DDQ processes, including success rates, challenges, and client feedback.
- Compliance and Risk Oversight: Continuously monitor changes in regulatory landscapes that impact DDQ requirements, updating processes and training accordingly to maintain compliance.
- Cybersecurity Documentation: Collaborate with the IT and cybersecurity teams to ensure that all technical and data security responses in DDQs accurately reflect current practices, safeguards, and compliance with industry standards.
- Risk Assessment and Mitigation: Work closely with the risk management team to identify and assess potential risks related to client onboarding and service provision. Ensure that risk mitigation strategies are clearly communicated in DDQ responses.
- Regulatory Updates and Training: Keep the DDQ team updated on regulatory changes that affect DDQ content. Develop and deliver training sessions to ensure team members understand and can apply these updates effectively.
- Privacy and Data Protection Compliance: Ensure that all data collected, stored, and shared through the DDQ process complies with relevant data protection laws and regulations, such as GDPR and CCPA, emphasizing the company’s commitment to client data privacy.
What We Look For In You
- Educational Background: Bachelor's degree in Business Administration, Law, Finance, Risk or related field.
- Professional Experience: Compliance, risk management, or related field, including a leadership role managing complex documentation processes.
- Project Management Skills: Proven ability to manage multiple projects simultaneously with meticulous attention to detail and deadlines.
- Analytical Skills: Strong analytical skills with the capability to interpret data and legal requirements into comprehensive responses.
- Communication Skills: Excellent communication skills, capable of engaging effectively with both internal stakeholders and external clients.
- Technical Proficiency: Proficient in using document management systems.
Nice to Haves
- Certifications: Certifications in Compliance, Risk Management, Project Management, or similar are highly regarded.
- Experience with Client Onboarding: Experience in client onboarding or client service operations in a regulated industry is preferred.

- The salary range for this position is $168,000 - $210,000
- The salary offered depends on a variety of factors, including job-related knowledge, skills, experience, and market location. In addition to the salary, a performance bonus and long-term incentives may be provided as part of the compensation package, as well as a full range of medical, financial, and/or other benefits, dependent on the position offered.
