The Role: Senior Associate, Executive Assistant

The Executive team is in search of a full-time Senior Executive Assistant to help manage the travel, schedule and rapidly changing needs of our Executives. You will be responsible for making sure the day-to-day schedules and travel arrangements are running smoothly.

This candidate will ideally be based in the U.S. Eastern time zone.

Responsibilities:

  • Manage complex, changing, and frequent travel arrangements (multi-stage, multi-city, international private and commercial airfare and accommodation) with complete discretion
  • Manage industry conference registrations as well as memberships for various clubs and professional organizations
  • Co-manage calendars simultaneously for executives, including international engagements
  • Process business related expenses and draft internal and external correspondences
  • 24/7 availability when Executives are traveling, especially internationally
  • Attend multiple team meetings relevant to Executives’ purviews to understand priorities and scopes of work
  • Serve as back-up to other EAs which includes but is not limited to:
    • Extensive calendar management
    • Setting up internal & external meetings
    • DocuSign documentation
    • BOD communication
  • Various ad hoc duties as needed requested by Executives or their teams
  • Partner with the EA team to support/execute firm-wide or team-specific initiatives as well as assignments originating from the Office of CEO

Qualifications:

  • 8+ years of experience, ideally in an administrative assistant
  • Extensive experience with complex global international and domestic travel
  • Proficiency in DocuSign, GCal, Slack
  • Extensive experience with email management and strong familiarity with Excel/Sheets
  • Extensive experience with scheduling, planning and travel logistics, particularly with complex international travel
  • Excellent written and verbal communication skills; strong time management abilities
  • Strong administrative writing and reporting skills

Preferred Qualifications:

  • Ability to interact with staff at all levels and maintain a high level of professionalism, confidentiality, and humility
  • Strong orientation to finding solutions to complex situations
  • Proactivity and confidence to work closely with and adapt to the >
  • High degree of responsiveness, strong decision making ability, and excellent attention to detail
  • Ability and willingness to provide executive support beyond the scope of a typical work day. The ideal candidate will be able to maintain a strong, responsive flow of communication with executives in different time zones, etc.

Salary Range: The base salary range for this role is between $75,000 - $104,000 in New York City, the State of California and the State of Washington. This range is not inclusive of our discretionary bonus or equity package. When determining a candidate’s compensation, we consider a number of factors including skillset, experience, job scope, and current market data.
