We are seeking an experienced and highly capable Executive Assistant to provide comprehensive support to our COO & President. This position requires a proactive, detail-oriented individual who can effectively manage multiple tasks and responsibilities while maintaining a high level of professionalism.


    • Personal and Executive Support: Act as a trusted liaison, providing seamless administrative support to the COO & President. Manage calendars, schedule appointments, and handle travel arrangements. Coordinate and prioritize meetings, ensuring time is optimized for strategic decision-making
    • Communication and Correspondence: Draft, proofread, and edit correspondence, reports, and presentations. Maintain clear and effective communication channels between the Executive, internal teams, and external stakeholders. Respond to emails and inquiries on behalf of the Executive, ensuring prompt and accurate responses
    • Meeting and Event Coordination: Organize and coordinate internal and external meetings, including preparing agendas, meeting materials, and minutes. Assist in preparing presentations and supporting materials for meetings and conferences. Handle logistics for Board events and conferences in conjunction with the Legal Ops Manager, coordinating travel, accommodations, and registrations
    • Information Management: Manage and maintain confidential and sensitive information, both physical and digital. Maintain an organized filing system and ensure timely retrieval of documents. Conduct research and gather information as needed, providing summaries and reports to assist the Executive in decision-making processes
    • Project Support: Provide project management support, including tracking progress, monitoring deadlines, and assisting with deliverables. Collaborate with internal teams to facilitate efficient project execution and follow-up on action items
    • Relationship Management: Build and maintain strong relationships with internal and external stakeholders, including employees, clients, partners, and investors. Represent the Executive professionally and maintain a positive image for CoinFlip
    • Other duties as assigned

What we're looking for in a candidate:

    • Substantial Executive Assistant Experience: A minimum of 7-10 years of experience as an executive assistant, preferably supporting high-level executives or founders in a fast-paced environment. Proven ability to handle confidential information with discretion
    • Exceptional Organizational Skills: Strong organizational skills with the ability to multitask and prioritize effectively. Experience managing complex calendars and scheduling arrangements
    • Excellent Communication: Outstanding verbal and written communication skills. Ability to draft and edit professional correspondence and documents with a high level of accuracy
    • Proactivity and Resourcefulness: Highly proactive and self-motivated, with the ability to anticipate needs and take initiative. Resourceful problem solver with excellent decision-making skills
    • Strong Attention to Detail: Meticulous attention to detail, ensuring accuracy and quality in all aspects of work. Ability to proofread and edit documents with precision
    • Discretion and Professionalism: Demonstrated ability to handle sensitive and confidential information with utmost discretion. Professional demeanor and the ability to maintain composure in high-pressure situations
    • Tech Savviness: Proficient in using productivity tools such as Microsoft Office Suite, Google Workspace, and project management software. Familiarity with cryptocurrency or blockchain technology is a plus

The Nice to Have's:

    • Experience working for a rapidly growing startup, and managing change 
    • Experience in financial services, fintech and/or crypto
