We are looking for an accounts payable analyst to join our Binance Canada team and work with our Finance department to oversee our organization’s expenses as well as perform general office administrator duties for our Calgary office.
Ultimately, you will work with our Finance team to ensure our organization’s expenditures are accurate, our accounting practices are standardized across the organization and the Calgary office administration runs smoothly.
The position in based in Calgary with flexible working arrangement, however working from the office at a minimum of 3 days a week is preferred.
Responsibilities
- Review and record invoices from vendors in Oracle NetSuite to ensure appropriate internal approvals, accuracy in billing, and maintain vendor files.
- Verify vendor accounts, resolve purchase order, invoice, or payment discrepancies.
- Keep track of all payments and expenditures and maintain historical records.
- Ensure vendors and staff expenses are paid on a timely basis.
- Research, address, and effectively deal with vendor inquiries and invoice disputes.
- Prepare analysis of accounts and ensure timely closing of the month end in A/P.
- Participate in month-end close and internal/external audit requirements.
- Manage, analyse, and improve payment process.
- Organize departmental documents on the shared drive for easy access.
- Organize and coordinate international/domestic travel and related requirements for Canadian staff, including travel authorizations, flight tickets, hotel bookings, visas, airport transfers, expense reports.
- Complete various expense forms, including purchase requisitions, fixed asset requests, travel expense reports, requests for payment, consultancy service agreements, etc.
- Prepare selective summaries and any follow-up actions for the Finance Department and ensure deadlines are met.
- Provide organizational support for company meetings and corporate functions.
- Assist Canadian staff with expense report submissions on Binance Global platform.
- Ensure adequate office supplies, kitchen supplies and general office equipment are ordered and available when needed and are properly maintained.
- Undertake special assignments/projects on a wide variety of issues as requested by the Finance Department.
Requirements:
- Degree or Diploma in Finance, Accounting, Economics, Business Administration are preferred major fields, or training in secretarial skills, office management and/or administrative studies is preferred.
- 2 to 4 years of relevant AP experience.
- Strong organizational skills including the ability to manage multiple tasks and effectively maintain records and files.
- Demonstrated ability to achieve high performance goals in a complex and fast-paced environment.
- Strong interpersonal skills and the ability to build and maintain professional, friendly, and cordial relationships with stakeholders, including team members, other departments, and external partners.
- Highly resourceful team-player with the ability to also be extremely effective independently.
- Demonstrated proactive approaches to problem-solving with strong decision-making capability.
- Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
- Expert level written and verbal communications.
- Strong computer skills including proficiency in Google Suite and Microsoft Office programs (Word, Excel, PowerPoint, and Outlook).
- Able to manage multiple tasks and adapt to a changing, fast-paced environment
- Experience with QuickBooks and Oracle NetSuite is an asset.
