The Role

We're looking for a dynamic and organised Operations Executive (Warehouse) to support the smooth day-to-day operation of our warehouse based in Amsterdam, and support the fulfilment of our releases to ensure collectors receive a top-rated collector experience. 

We really do encourage everyone to proactively step outside of their job description if they see something that could be improved, but the core of your role will involve:

Fulfilment Support

  • Supporting the warehouse team with the smooth and efficient day-to-day planning and fulfilment of our editions, in line with internal fulfilment SLAs. This includes preparing sales overviews and shipping documentation for dispatching our editions. 

  • Supporting collectors with resolution of issues related to their orders, and escalating more complex issues to the customer support team

Warehouse Operations

  • Checking vendor invoices and coordinating payments, actively negotiating the best prices from our suppliers, while ensuring delivered ancillaries meet our quality standards — not afraid of giving feedback and setting quality expectations with our suppliers

  • Managing supply levels and ancillary ordering, supporting post-release ordering and delivery scheduling, while keeping optimisation and improvement of current processes top of mind

  • Supporting day-to-day warehouse requirements, including keeping our health and safety calendar up to date and the warehouse compliant with local health and safety legislation, and liaising with vendors who support the efficient operation of our warehouse.

Database & Records Management

  • Meticulous management of internal records, both physical and digital, including safekeeping of financial records, filing and paper management, and maintaining our internal inventory of editions available for sale

  • Updating internal shipping and warehouse trackers, tracking project and shipping costs for our finance team, project budgets and artist breakdowns

  • Managing deadlines and important dates across various project management tools to support warehouse operations and team planning (including Wrike & Airtable)

  • Updating inventory records and supporting quarterly inventory counts and stock audits as needed

  • Managing requests from other teams and ensuring they are delegated to the appropriate team members and completed in a timely manner

The Main Skills We're Looking For

  • Highly organised with strong prioritisation skills: you juggle multiple moving parts with ease, know how to triage what's urgent versus what can wait, and keep everything on track without letting details slip - even when priorities shift at short notice.

  • A growth and improvement mindset: you are always looking for a better or more efficient way of doing things while also keeping project budget and team KPIs top of mind. You are a fast learner and data savvy, always keeping an eye on the metrics that matter to track your progress as well as identify areas for improvement.

  • Exceptional organisational skills with an eye for detail: making sure we deliver an exceptional five-star experience for our collectors, from the day-to-day operation of our warehouse through to making the shipping process as seamless as possible.

  • Dependable and proactive: you thrive in a fast-paced environment, keep a cool head under pressure, and are always looking for creative solutions to get the job done. You are driven, keep your eyes on the prize and always go the extra mile, earning you a reputation for being highly dependable.

  • A self-starter able to work independently: you know how to prioritise and plan your day to ensure we meet our internal deadlines and deliver on time.

  • Strong communication and relationship building: you use your excellent communication and interpersonal skills to work sensitively with a diverse range of vendors, artists and their studios, adjusting your approach to suit each way of working. You work well independently but are also a strong team player who is willing to collaborate with others.

We Think You'll Probably Have

  • Some experience in warehouse or office management, and/or logistics and shipping of high-value, luxury products — an advantage

  • Knowledge or experience in the arts industry — an advantage

  • Knowledge of import and export management and customs processes

  • Excellent verbal and written communication skills and the ability to present information in a clear and concise manner

  • Experience with Google Sheets is a plus!

  • The Operations Executive (Warehouse) is expected to be on site 5 days a week.
