Avant Arte wants to make art radically more accessible for a new generation. The company began as a cult blog of contemporary artists and grew organically into the worldâs largest and most engaged online art community, with more than 2 million of their followers under the age of 35. WHAT WE NEED
Weâre looking for a dynamic and organised Warehouse Executive / Office Administrator to support the smooth operation of our warehouse based in Amsterdam. We really do encourage everyone to proactively step outside of their job description if they see something that could be improved, but the core of your role will involve:
FULFILMENT AND RELEASE SUPPORT
Supporting the warehouse team with the smooth and efficient day to day planning and preparation for the fulfilment of our releases, in line with internal fulfilment SLAs.Â
Ensuring all ancillaries are ordered in a timely manner, tracking project expenses, coordinating supplier payments and cost reporting to the relevant team members.Â
Managing deadlines and important dates across various project management tools to support warehouse operations and team planning (including project management tools Wrike & Airtable).

Supporting cross-functionally to ensure products are launch ready, including updating ancillary prices, and ensuring all fulfilment related product information is available in time for our release product pages to go live.
WAREHOUSE OPERATIONS
Responsible for checking vendor invoices and coordinating payments, actively involved in negotiating the best prices from our suppliers, while also ensuring delivered ancillaries meet our quality standards. Not afraid of giving feedback and setting quality expectations with our suppliers.
Support with scheduling and recruitment of our art handling team, tracking hours worked and reporting to payroll.
Managing supply levels and ancillary ordering, supporting with post-release ordering and delivery scheduling, while keeping optimisation and improvement of current processes top of mind.Â
Support with managing day to day warehouse requirements, including keeping our health and safety calendar up to date and the warehouse compliant with local health and safety legislation, and liaising with vendors who support the efficient operation of our warehouse.
Meticulous management of internal records, both physical and digital, including safekeeping of financial records, filing and paper management as needed.Â
Updating internal trackers, and keeping track of project expenses for our finance team and project budgets.
Managing requests from other teams and ensuring they are delegated to the appropriate team members and completed in a timely manner.
Updating inventory records and supporting quarterly inventory counts and stock audits as needed.

A self-starter able to work independently: you know how to prioritise and plan your day to ensure we meet our internal deadlines.
Strong communication and relationship building: you use your excellent communication and interpersonal skills to work sensitively with a diverse range of vendors, adjusting your approach to suit each way of working. You work well independently but are also a strong team player who is willing to collaborate with others.
We think youâll probably have:
Some experience in office management or a similar role.
Knowledge or experience in the arts and / or logistics industry is an advantage
Excellent verbal and written communication skills and the ability to present information in a clear and concise manner.
Experience with Google Sheets is a plus!

The Warehouse Executive is expected to be on site 5 days a week.
