Web3 Global Marketing Administrative Assistant

The Opportunity

The Global Marketing Executive Assistant provides high-level administrative support to Marketing leadership, ensuring efficient operation and proactive coordination of tasks across global time zones. This role demands exceptional organizational skills, ability to work in a faster-than-fast paced environment, the ability to handle sensitive information with discretion, and a deep understanding of international business protocols and cultural nuances. Curiosity and willingness to learn about the Blockchain and web3 space.

Key Responsibilities

  1. Administrative Support:

    • Manage and maintain Akshay/Ellies schedules, including appointments, meetings, and travel arrangements.

    • Prepare and edit correspondence, communications, presentations, and other documents

    • Conduct research, to assist with preparing reports and documents.

    • Expense management

  2. Global Coordination:

    • Coordinate and manage international travel itineraries, including visas and accommodations.

    • Schedule meetings across different time zones, ensuring effective communication with global teams.

    • Facilitate communication between the international and external stakeholders.

  3. Meeting and Event Management:

    • Support the Events team with restaurant reserved, reservations and bookings

    • Assist with coordination of meetings, including department offsite dinners, team meetings, and global conferences.

    • Prepare agendas, take minutes, update spreadsheets and assist with following up on action items.

  4. Communication:

    • Serve as a point of contact between internal and external teams and partners.

    • Handle incoming and outgoing communications, including emails, phone calls, and written correspondence.

    • Develop and maintain relationships with key internal BD stakeholders.

  5. Project Management:

    • Assist in the planning and execution of special projects.

    • Monitor project timelines and deliverables, providing regular updates to the Akshay/Ellie

    • Coordinate with various departments to ensure project alignment and progress.

  6. Confidentiality and Discretion:

    • Handle sensitive and confidential information with utmost discretion.

    • Ensure compliance with company policies and legal requirements.

Required Qualifications

  • Experience: Minimum of 5 years of experience in an executive administrative role, preferably in a global setting.

  • Skills:

    • Exceptional organizational and time management skills.

    • Excellent written and verbal communication skills.

    • Proficiency in google suite and other relevant software.

    • Strong problem-solving abilities and attention to detail.

    • Ability to work independently and as part of a team.

    • Flexibility to work across different time zones.

Preferred Qualifications

  • Experience working in a multinational corporation or international organization.

  • Familiarity with project management tools and software.
