Job Summary
The Division Coordinator will provide daily support to the Marketing & Communications management team by performing administrative tasks including, but not limited to, preparing meeting agendas, creating expense reports, working events on a case by case basis, and assisting with special projects as needed.
Essential Functions

  • Coordinate daily Marketing Division activities to achieve established goals while providing administrative assistance to Division’s VP such expense reports, meeting agendas, meet and escort vendors as needed.
  • Maintain Division static marketing signage/flyers/banners at Crypto.com Arena, Microsoft Theater and L.A LIVE.
  • Manage all Crypto.com Arena and Microsoft Theater artist gift ordering and payment
  • Assist in scheduling conference calls and making travel arrangements.
  • Prepare meeting agenda, schedule department meetings and distribute minutes.
  • Assist in budget/invoice preparation and expense management activities.
  • Assist in preparing, maintaining, and auditing meeting materials, business presentations and other Division files.
  • Work venue(s) events on a case by case basis.
  • Assist with other special projects/duties on a case-by-case basis and as assigned by the manager.

Qualifications
  • Education: High School Diploma or its equivalency (BA/BS Degree Preferred)
  • Experience: 0-2 years of related work experience (venue or special events preferred)
  • Excellent and effective verbal and written communication skills, along with heightened interpersonal skills
  • Outstanding relationship building and networking skills
  • Ability to work well both individually and within a team environment, while adhering to departmental guidelines
  • Strong attention to detail, effective follow-up and follow through required
  • Ability to multi-task, adapt and re-prioritize based on sales needs
  • Working knowledge of catering, regional venue operations, and/or the special events industry is a plus
  • Ability to provide sales reports and contact feedback to management on a daily and weekly basis
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint); and ability to learn required business systems
  • Must be able to work flexible schedule including evenings, weekends and some holidays
  • Must be able to pass applicable occupational health screening and have the ability to use required Personal Protective Equipment (PPE)
  • Must be able to pass applicable background check
  • Standard ADA Setting: Office and administrative support in an event setting (reasonable accommodations may be made)

Pay Scale: $24.50 - $24.50
