Reporting into the UK Human Resources Manager, as the Onboarding Coordinator you will play an integral role to ensuring the smooth processing of new starters information. This is the perfect opportunity for someone looking for a new challenge and to join a fantastic team of professionals within the HR and TA functions, whilst developing knowledge of onboarding requirements. To be successful in this role you will need to be service driven, able to work within set timescales in a fast paced, sometimes high volume environment and have excellent attention to detail in order to spot irregularities within the information provided.

The role entails full administration of the vetting and onboarding process for new starters across the Group, including conducting pre-employment screening and issuing offer letters and contracts of employment to successful candidates. You will be a main point of contact for successful candidates during the onboarding stages and vetting with accountability for issuing employment documents to candidates in a timely and efficient manner, ensuring that these are in line with company policy and that all new hires have completed their vetting to a satisfactory standard.


Responsibilities:

  • Drawing up contracts of employment and offer letters
  • Crafting and sending comprehensive emails to new hires with information related to the organisation and their position
  • Responsible for overseeing the background checking process and administering the in-house background checks for all new joiners
  • Being the point of contact for all background checks with un-clear results, following up with new joiners and HR.
  • Actively support the recruitment and HR team in dealing with candidates and vacancies, being the point of escalation in relation to screening in general enquiries, audits, and advice.
  • Ensuring that onboarding and system administration is accurate across all business areas, proactively maintaining the hiring records / HR system in accordance with business needs and in line with business practice.
  • Ensuring that all candidates have the correct paperwork, and that hiring managers are kept informed of the candidate journey
  • Preparing onboarding kits
  • Working closely with the HR to ensure candidates are set up on the HRIS system prior to their start date
  • Leading onboarding sessions, ensuring that our new hires’ first day is one to remember (for the right reasons!)
  • Managing all post-offer administrative tasks with candidates
  • Any other tasks between HR and TA teams
  • Experience in a fast-paced administrative position for 2-3 years
  • Experience working within a similar role
  • Knowledge regarding onboarding or similar processes
  • Ability to be flexible on multiple tasks/projects at once
  • Detail oriented, organised, and structured
  • Driven and proactive, ask questions and come up with ideas and improvements
  • Upbeat and excited by fast pace and able to make quick decisions
  • Speak and write fluent English to be able to communicate with candidates and internal stakeholders
  • The ability to remain calm under pressure
