Your role at Finoverse

  • Part of the team to design and organize different formats of events, such as VIP receptions, global business seminars, workshops, conferences etc

  • Event Logistics: Coordinate with the Content & Programmes team regarding speakers and VIP logistics, managing all logistical aspects related to their participation in conferences

  • Travel arrangement: Arrange flights, accommodations, and ground transportation for speakers, ensuring all travel details are communicated clearly and in a timely manner

  • Briefing: Create and distribute briefing materials to speakers, informing them about event schedules, audience profiles, and presentation expectations

  • Bio and materials collection: Gather and maintain up-to-date speaker bios and high-resolution photos, and confirm the accuracy of speaker titles for promotional purposes, ensuring accuracy and completeness as well as collecting presentation materials

  • Collaboration with marketing: Collaborate with the marketing team to provide relevant speaker information for the development of promotional materials and event branding.

  • Stage Scheduling: Work closely with the event production team to schedule speaker presentations and ensure a smooth flow of the conference agenda

  • On-Site Management: Oversee speaker logistics during the event, addressing any last-minute changes or needs that may arise

  • Feedback Collection: Collect feedback from speakers post-conference to improve processes for future events and maintain positive relationships


Who you are

  • Educational Background: Bachelor’s degree in a related field (such as Event Management, Hospitality, Business Administration, or Communications).

  • Experience: Minimum of 3 years of relevant work experience in project management or event management, with a proven track record in coordinating successful events.

  • Detail-oriented: Strong attention to detail with the ability to manage multiple tasks efficiently and effectively.

  • Organizational Skills: Extremely organized and adept at juggling various responsibilities while adhering to deadlines.

  • Communication Proficiency: Excellent verbal and written communication skills; ability to effectively collaborate and negotiate with diverse stakeholders.

  • Problem-Solving Ability: Strong problem-solving skills with a proactive approach to addressing challenges that may arise during event planning and execution.

  • Startup Experience: Experience working in startups or small teams is a plus, demonstrating adaptability and resourcefulness.

  • Language Skills: Fluency in English, Cantonese, and Mandarin, enabling effective communication with a broad range of speakers and VIPs.

  • Self-motivated: Ability to work independently and as part of a team, showing initiative and drive.

  • Rapid Response: Capability to react quickly to situations, prioritize tasks effectively, and implement improvements in procedures and workflows.

  • Flexibility: Comfortable working in a fast-paced and high-pressure environment while remaining adaptable to change.

  • Event Quality Focus: A confident and friendly demeanor, committed to ensuring high-quality events and enhancing the overall experiences of all participants.
