As a startup, we move fast and operate in a high-performance environment. We’re looking for an Executive Assistant & Workplace Manager who thrives in this kind of setting - someone who can independently manage a variety of workplace responsibilities while also providing day-to-day support to our leadership team.

About the Role: This role, reporting to the CEO, blends executive support with office operations. You’ll be the backbone of our NYC office owning logistics, anticipating needs, and keeping our physical space and team running smoothly. From managing calendars to stocking the kitchen to working with marketing to plan events, this is a role for someone who loves being the person everyone can count on. You’ll work across teams, own key operational touchpoints, and help us scale our systems and support as we grow.

Key Responsibilities 

Executive Support & Scheduling

    • Manage calendars for the CEO and other senior leaders; coordinate meetings, travel, and logistics
    • Serve as a point of contact for scheduling cross-functional or external meetings
    • Track action items and help the leadership team stay organized and prepared
    • Assist with ad hoc tasks, errands, and travel as needed

Office & Workplace Management

    • Own daily operations of the NYC office, including vendor coordination, stocking supplies, and handling maintenance issues
    • Act as the point of contact for building management and all facility-related requests
    • Ensure the office is clean, organized, and welcoming to employees and guests
    • Manage weekly snack, beverage, and grocery orders based on team preferences
    • Support and lead planning for our upcoming office move, including setup and vendor management
    • Maintain an evolving inventory and implement systems to proactively manage supply levels
    • Coordinate new employee onboarding, including addition to the website, desk setup, welcome kits (swag, etc), office access, and first day experience

Key Responsibilities

    • Plan and execute in-office team events such as poker nights, developer meet-ups, and team celebrations/bonding events
    • Support and plan logistics for offsites, guest visits, and company-wide events
    • Collaborate with the marketing team to coordinate office readiness for in-office client activations (launch events, cocktail hours, and other account-based marketing activities) 
    • Serve as the first point of contact for team members' office needs and ensure a seamless workplace experience

What We’re Looking For

    • 3–5 years of experience in executive support, office management, or workplace operations
    • Based in NYC with the ability to work in-office 4 days per week
    • Highly organized, proactive, and reliable - you notice what needs to be done and make it happen
    • Strong communication and coordination skills, with comfort managing multiple priorities
    • Self-starter with a bias for action and ability to operate without micromanagementExperience managing vendors, logistics, or event planning is a plus
    • Previous experience in fast-paced startup environments preferred
