THE POSITION

We are seeking a Director of Events Logistics who is responsible for the planning, management and successful execution of medium to large scale conferences & events for CoinDesk, as a key part of the CoinDesk Event team. This is a multifaceted role with responsibility for key logistics and operations functions including logistical production, vendor management, onsite registration, AV, F&B, budget management, venue management, etc. This role reports to the Managing Director of Consensus, and requires a real team player that can work across multiple divisions at CoinDesk.

KEY RESPONSIBILITIES INCLUDE

  • Work collaboratively with Event, Programming, Content, Sales, Marketing, Product and Engineering teams to plan and produce the Consensus conference as well as any other physical or virtual events throughout the year.
  • Oversee execution of event plans and timelines, in coordination with internal and external teams.
  • Research, negotiate, contract and, and manage event suppliers: venues, hotels, restaurants, audio visual and other event & production related vendors.
  • Arrange for temporary personnel at assigned venues when necessary and instruct them as to their duties and supervise their performance.
  • On-site management of teams, vendors, venues, and areas of responsibility during the event from load-in through the show dates and thru load-out

  • Venue site selection and oversee any permitting needs.

  • Overseeing registration.

  • Manage event budgets, invoices, and expenses effectively.

  • Liaising with the finance team re: the payment of vendor bills.

  • Draft and distribute RFPs as needed.

  • Verify the accuracy of all event-related invoices and forward to VP for review (responsible for monthly accruals and re-accruals for each assigned project).

DESIRED QUALIFICATIONS AND REQUIREMENTS

  • Minimum of five years of event/ meeting planning experience.

  • Highly organized and detail oriented with in depth knowledge of in-person, hybrid and virtual events.

  • Proven experience as events planner for medium to large scale meetings & conferences of up ~10,000 attendees.

  • Strong Onsite presence + management ability.

  • Must get along with others.

  • Must be able to travel for events & walkthrough’s, and/or for industry events and meetings on behalf of CoinDesk.

  • International event or meeting experience a plus.

  • Ability to source, vet, and manage vendors and venues.

  • Ability to think creatively about event concepts, designs, and possibilities.

  • Project and time management skills with the ability to meet deadlines.

  • Ability to anticipate possible scenarios and problem solve to achieve results

  • Strong work ethic and self-motivated

  • Keeps abreast of new industry trends.

  • Partner with department leadership on developing business development opportunities

  • Strong ability to negotiate contract terms/conditions.

  • Knowledge of Event Technology products and services

  • Knowledge of contract management and legalities
