Job Description:

We are seeking a highly dynamic and proactive Executive Assistant to support our CEO in a fast-paced and rapidly evolving environment. The ideal candidate will excel at anticipating the needs of a high-level executive, preparing him for key meetings, events, and strategic initiatives. This role requires agility, exceptional organizational skills, and the ability to manage multiple priorities with speed and precision. You will be instrumental in ensuring the CEO is fully equipped with the necessary information and resources to make impactful decisions.

Key Responsibilities:

  • Executive Support & Preparation: Proactively prepare the CEO for meetings, events, and presentations by organizing agendas, briefings, and any necessary resources, ensuring he is always well-informed and ready for strategic engagements.
  • CEO Calendar Management: Skillfully manage the CEO’s calendar, including scheduling high-priority meetings, coordinating complex travel logistics, and optimizing time management in a rapidly shifting environment.
  • Communication Facilitation: Act as the central point of contact for all communications related to the CEO, maintaining clarity and urgency in responses to both internal and external stakeholders.
  • Task Prioritization & Coordination: Quickly assess and prioritize incoming tasks, projects, and communications, ensuring that critical issues are addressed promptly and all deadlines are met with precision.
  • Document Preparation & Management: Prepare and manage high-quality documents for executive meetings, presentations, and strategic reports to support effective decision-making processes.
  • On-Site Support & Office Presence: Be an on-site presence at our Williamsburg office, providing direct support to the CEO and facilitating efficient in-person collaboration and communication with team members and visitors.
  • Stakeholder Engagement: Build and maintain strong relationships with internal and external stakeholders, handling sensitive information with the highest degree of confidentiality and professionalism.

Requirements


  • Experience: 2+ years in an Executive Assistant or similar role supporting senior executives, preferably in fast-paced industries such as tech, blockchain, or finance.
  • Skills: Exceptional organizational and time-management skills; strong proficiency in MS Office and other office management tools; outstanding verbal and written communication abilities.
  • Attributes: Highly adaptable, professional, and able to thrive in a dynamic environment; comfortable working under pressure and managing sensitive information with utmost discretion.
  • Location Requirement: Must be based in New York and able to work from our Williamsburg office.
