We are seeking a talented and versatile individual to join our team in a unique hybrid role, combining office management responsibilities with active involvement in our Customer Success team. This hybrid role is an excellent opportunity for an experienced office manager to expand their skill set and expand their knowledge into managing a global real estate portfolio. Initially, the role will be a 50/50 split between office management and junior real estate associate, offering a unique chance to diversify skills and expertise. As the individual becomes proficient in real estate management, there is a clear pathway for the role to evolve into a full-time Real Estate Lead position. Office Management
Become the first point of contact for all US office related issues, including managing WeWork memberships for remote employees. Collaborate with the Talent and IT teams to ensure smooth onboarding for new hires in the US. Heavy involvement in staff engagement and events for the Dallas team. Organize and maintain seating plans and desk arrangements. Implement and maintain office procedures and supplies. Broadcast pertinent information and updates via Slack to all US office-based employees. Manage communication with the building managers (LPC). Coordinate logistics for leadership on-site visits. Manage office budgets and track all invoices related to the US offices. Oversee Dallas meeting rooms, ensuring they are prepared for meetings. Track access cards and grant access for visiting team members. Collect and track incoming mail for the US headquarters, and liaising with the building management.
Real Estate Administration
Support the Director of Operations & Business Strategy through:
Tracking all global office related spends Coordinating regular communication with office managers and local staff on their core office needs (i.e. mail, keys, supplies, maintenance) Building and maintaining strong relationships with all property managers (i.e. office building representatives) Monitoring existing global real estate portfolio to understand insurance requirements and lease renewals Evaluating new office requirements and proposing a range of solutions Collaborating with legal, finance, insurance and security teams as needed for operations and regulatory purposes Anticipating how real estate can support evolving business needs
