We are looking for a mission-driven, highly-organized, and meticulous Executive Assistant and Program Coordinator (Maternity Cover) to support our CEO and leadership team. This is a high-impact role where you keep leadership rhythms on track, make sure priorities are clear, and help drive fast, high-quality decisions. What You’ll Do Your primary role is to act as the first line of defense for the CEO’s time. You will sit in the People team, report to the VP of People and Programs, and work closely with leadership, finance, and operations. You act as the connective layer across the company, bridging information, streamlining workflows, and helping teams stay aligned and focused on what matters most.

Responsibilities Executive Support & Administration

Manage CEO’s calendar and triage incoming requests (Slack, email, invites), ensuring time is allocated to the highest-impact priorities and follow-ups are handled promptly. Coordinate virtual meetings across global time zones with internal and external stakeholders. Handle personal admin for the CEO (e.g., medical appointments, insurance, logistics). Manage all travel logistics, including the CEO’s personal travel (flights, accommodations, itineraries) and the company-wide travel tracker. Coordinate inbound media and external interview requests, ensuring a smooth and professional process. Support administrative processes such as KYC documentation, along with other ad-hoc tasks that help the CEO and leadership team operate effectively.

Program Management & Meeting Coordination

Coordinate board meetings and oversee timelines, scheduling, preparation of materials and decks, and accurate minute-taking. Own coordination of recurring leadership meetings by preparing agendas with the CEO, managing logistics, capturing structured notes, and tracking actions. Publish the weekly Leads Digest summarizing leadership updates. Maintain key operational rhythms, such as PED planning cycles and the CEO’s weekly PPP (Progress, Plans, Problems) meeting, by coordinating timelines and updates, and tracking follow-ups. Support the VP of People & Programs in executing key company-wide and leadership events — including All Leads meetings, Leads Summits, the annual retreat, and monthly All Hands. Ensure smooth cross-functional execution for each. Own end-to-end preparation of monthly All Hands: draft the agenda, build the skeletal deck, coordinate content with DRIs, and manage final reviews. Upload reports in the research portal.

Requirements

Prior experience as an Executive Assistant to a high-performing executive Must be familiar with Notion, Google Workspace, and Slack Proactive and able to work independently Detail-oriented with a proactive communication >
