Who You Are:

We are looking for a 2nd Executive Personal Assistant to support a C-Suite executive here at Galaxy. Responsibilities include managing internal and external calendars, fielding messages and questions, liaising with our family office, managing the flow of information, streamlining expense reports and other back-office tasks. To be successful in this role, you should be well-organized, have excellent time management skills, and be able to act with good judgment with minimal guidance. The ideal candidate is excited about contributing to the team’s success by solving problems, being collaborative, and demonstrating intellectual curiosity.

What You’ll Do:

• Provide Executive/Personal Administrative support for C-Suite Executive including, but not limited to calendar management (personal and professional), travel coordination, expenses, etc.
• Work directly with current EA/PA to coordinate all needs
• Manage calendar including all appointments, events, dinner/lunch reservations, etc.
• Coordinate travel arrangements including international: flights, hotels, cars, private jets and secure Visas as required
• Process expenses
• Event planning (ability to work one weekend event a month is required)
• Assist with personal errands (shopping/returns etc.) and projects
• Liaise with family and spouse while providing support for their needs
• Manage key contacts; developing relationships both internally and externally on behalf of executive
• Liaise with domestic property staff

What We’re Looking For:

• Minimum 2+years' experience as an administrative or personal assistant
• Degree preferred
• Ability to work one weekend event per month is required
• An extremely high level of discretion
• Team-player mentality with a willingness to handle responsibilities regardless how big or small
• Poised and professional demeanor
• Detail-oriented and good organizational and time-management skills
• Ability to perform well in a fast-paced environment and work independently with minimal guidance
• Excellent communication skills (written and spoken)
