Executive Assistant

We are looking for:

A multitasker and excellent communicator with at least 3-5 years experience in a similar capacity, experienced in day to day work with senior management. An ideal candidate is a detail-oriented, proactive and upbeat go-getter, is discreet and trustworthy and has a genuine desire to meet the needs of others. Your main mission will be to alleviate administrative burdens of a day-to-day of our senior management and ensure as much of their time and mental load is freed to manage the business. 

Responsibilities

• Providing real-time scheduling support by booking appointments and preventing conflicts; general calendar management

• Making travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations

• Generating reports, transcribing minutes from meetings, creating presentations, and conducting research (need-based)

• Ensuring proper general documentation flow, budgeting and decision-making process structure and documentation

• Proactively suggesting new scalable processes for day to day of the management team’s activities

• Anticipate the needs of others in order to ensure their seamless and positive experience

Skills and experience

• Fantastic interpersonal skills

• Strong sense of ethics and discretion

• Drive for structuring a changing environment

• High level of operational excellence, accuracy and attention to detail

• Proficient with Office Suite, Google Drive, AI Productivity tools

• Proficient Business English and French - other languages are a plus

• 3-5 years of experience in similar role
