AiB is seeking an independently motivated and tactical Executive Assistant to support the Executive Team based in Europe. Your work will be instrumental in inter-departmental communication, organization, and growth.

You will work with multiple departments, manage schedules, inboxes, and events (both in-person and virtual), and improve existing processes to facilitate transparency and communication throughout the organization. 

We’re looking for a motivated, empathetic, and versatile person who balances scalable structure with flexibility and wants to grow with a fast-paced crypto startup!

What you will be doing:

    • Plan, coordinate, and schedule meetings for fully remote, globally distributed teams
    • Record meeting minutes
    • Manage communications between departments and executives, ensuring the correct prioritization of tasks
    • Analyze and route incoming emails, messages, and social media messages to the executives and staff
    • Coordinate with contractors and third-party vendors
    • Coordinate international travel arrangements for Executive offsites, conferences, and team-building events
    • Prepare documents, correspondence, and presentations for the Executive Team and Board of Directors
    • Ensure appropriate confidential awareness is applied to contacts with external and internal stakeholders at all levels
    • Act as a reliable and trustworthy source for employees
    • Proactively strategize and implement processes to continuously improve organizational effectiveness
    • Drive or assist in task and project managementGeneral administrative support

We're looking for someone who has:

    • 3+ years experience in an EA or administrative support role with expertise in calendar management and Google Workspace.
    • Experience working remotely with international teams.
    • Proficiency in collaboration tools like Notion; adaptable to emerging technology.
    • Exceptional interpersonal skills focusing on written and verbal communication; comfortable engaging at all levels.
    • Compassionate, empathetic, and self-motivated; enjoys opportunities to collaborate.
    • Resourceful problem solver with critical thinking abilities.
    • Effective in prioritization, time management, and maintaining a positive attitude.
    • Preference for UTC +0 to UTC +3 time zones.

Nice to have:

    • Bachelor's degree in Psychology or related fields
    • Passion for open source, blockchain, and disruptive technologies common in web3
    • Knowledge of other languages and cultures
    • Project management experience
    • Event experience
