We are looking for an experienced Office Manager who will become part of our team and will help in the creation and opening, office development, formation of a productive work environment and communications.

Your experience and mindset:

    • Previous working experience as a travel manager/office manager.
    • Hands-on experience with international travels arrangement.
    • Good time-management skills.
    • Ability to multi-task.
    • Strong interpersonal and communication skills.
    • Critical-thinker and problem-solver.
    • Fluent Serbian and English.

Responsibilities

    • Maintain office services by organizing office operations and procedures; controlling correspondence; designing filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions.
    • Manage relationships with vendors, service providers, and landlord, ensuring that all items are invoiced and paid on time.
    • Office Setup Coordination: responsible for overseeing all stages of the office launch — including construction work, delivery of furniture, installation of IT equipment, security cameras, and access control systems. The office manager will be on-site to coordinate with contractors and ensure timely and high-quality execution of all preparation works.
    • Organize travel arrangements for employees within the approved budgets (selecting and booking flights, hotels, taxi).
    • Suggest improvement and innovation in travel policies and procedures.
    • Coordinate with IT department on all office equipment.
    • Provide general support to visitors.
    • Design and implement office policies by establishing standards and procedures; measuring results against standards; making necessary adjustments.
    • Facilities & Safety:
    • Ensure compliance with fire safety regulations, including scheduling inspections and maintaining equipment (e.g. extinguishers, alarms).
    • Oversee general workplace safety and adherence to Health, Safety & Environment (HSE) standards.
    • Catering & Office Meals: 
    • Organize daily office meals, manage relationships with catering providers, and accommodate dietary preferences of employees.
    • Budgeting & Cost Control: 
    • Monitor and report on administrative expenses; assist in planning and managing the office operations budget.
    • Event Coordination: 
    • Plan and execute internal office events, team-building activities, and celebrations.
    • Administrative Support: 
    • Assist with onboarding of new employees, manage office access and keycards, and support HR or Finance teams as needed.
