Your Role

Your role as the Personal Assistant to the CEO will play a critical role in enabling visionary leadership. You'll be the operational backbone behind the scenes - managing logistics, optimizing schedules, and handling sensitive admin tasks that keep things running smoothly. From coordinating investor meetings to organizing travel, you’ll help clear the runway for deep work, strategic focus, and creative thinking. This high-trust role is perfect for someone who thrives on proactivity, discretion, and making things happen - big or small.

What You'll Be Doing

Execution & Delivery

• Manage the CEO’s calendar and inbox across time zones, ensuring efficient scheduling, alignment with priorities, and timely follow-through.

• Coordinate all travel logistics—including flights, accommodations, and visas—as well as logistics for retreats, investor gatherings, and events.

• Support day-to-day administrative tasks such as booking appointments, managing subscriptions, and handling occasional personal logistics.

• Track and manage executive-level projects, ensuring stakeholder coordination, clear timelines, and on-time delivery of key outcomes.

• Prepare internal documentation, including briefing notes, slide decks, meeting summaries, and progress reports to support strategic decision-making.

Collaboration & Communication

• Draft and manage written communication on behalf of the CEO, flagging priorities and ensuring timely follow-ups on critical threads.

• Coordinate meetings and engagements—handling confirmations, prep materials, and post-event follow-ups for external appearances and speaker events.

• Maintain a structured CRM system, supporting thoughtful engagement and follow-ups with high-value contacts and stakeholders.

• Act as a trusted operational partner to the CEO, enabling focus on leadership, strategy, and deep work by reducing cognitive load and logistical noise.

What We’re Looking For

• High Agency & Attention to Detail – You’re proactive, perceptive, and operate with a high bar for quality, precision, and follow-through.

• Clear & Multilingual Communicator – Exceptional written and verbal communication skills in English and German, with the ability to adapt tone across audiences and channels.

• Executive Support Experience – Background in a similar PA or operations role within a fast-paced, international environment, supporting high-level leadership.

• Adaptable & Service-Oriented – Highly flexible, approachable, and responsive, with a mindset geared toward enabling others and navigating shifting priorities with ease.

• Independent & Structured Work Style – Able to operate autonomously, manage your own workload, and stay organized without needing constant direction.

• Stakeholder Relationship Management – Skilled at building and maintaining relationships with key internal and external stakeholders over time.

• Calm & Focused Under Pressure – Exceptionally well-organized, composed, and deadline-driven - especially when juggling multiple priorities.

• Problem-Solving & Decision-Making – Solutions-oriented with a knack for identifying potential issues early and resolving them effectively.

• Cross-Channel Coordination – Comfortable using a range of communication tools (email, Discord, WhatsApp, Telegram, X, etc.) to keep everything moving.

• Strong Organizational Systems – Excellent time management, calendar coordination, and documentation practices that keep executive operations flowing seamlessly.
