What you might be doing:

    • Mail Management: Handle incoming and outgoing mail, including scanning and saving documents to the appropriate files.
    • Document Preparation: Accurately complete and organise documents for various entities.
    • Shipment Preparation: Prepare DHL shipments following standard operating procedures (SOP).
    • Correspondence: Manage basic communications with third parties as needed.
    • Office Organisation: Ensure the office space is orderly and ready for use by the team and external visitors (e.g., loading, running, and unloading the dishwasher, keeping jars of snacks filled, bringing outdoor cushions inside, etc.).
    • Supply Management: Order food and maintain office supplies, such as coffee and tea. This includes placing weekly orders (e.g., Thursday orders for Monday/Wednesday deliveries) and managing bi-monthly employee requests.
    • Equipment Management: Track office equipment, ensuring it is clean, functional, and ready to use. For example, clean and prepare returned laptops for reuse.
    • Newcomer Welcome: Prepare and distribute welcome vouchers for new employees.
    • Monthly Celebrations and Updates: Help foster team motivation by organising monthly celebrations and events at the Lausanne office.
    • Cleaning Staff Coordination: Manage cleaning schedules, track hours monthly, and coordinate additional cleaning requirements for events at the Lausanne office.

What you might bring:

    • Academic background or professional experience in Administration, Human Resources, Legal or similar
    • Fluency in French and English
    • Microsoft Office skills
    • Exceptional attention to detail
    • Self-driven, proactive, and capable of working independently
    • Ability to work on site 3 days a week
