We are seeking a high-impact Workplace Experience Manager to lead both the New York office operations and firm-wide shared services strategy. This role ensures a professional and inclusive environment in NYC, managing all daily facilities, budgets, and cultural initiatives. You will also directly manage the San Francisco Office Manager and standardize scalable operational processes across the entire firm. The ideal candidate offers progressive administrative leadership and proven success in implementing complex, multi-location workplace systems.

Primary Responsibilities:

    • Office Management - New York
    • Lead as the Office Manager for the New York office, ensuring a seamless, professional, and well-supported environment for all colleagues and guests by coordinating space planning and reservation needs, visitor welcoming/support, and proactively communicating essential office policies, practices and information.
    • Lead day-to-day office operations including: ordering daily office lunches, managing office and equipment repairs, temperature control, office and meeting room cleanliness, maintaining a positive and effective relationship with property management, and other tasks and responsibilities as needed for effective office operations.
    • Lead execution of office events, team gatherings, and cultural initiatives that reflect the New York team’s unique identity while aligning with broader firm values. Foster an inviting, inclusive and collaborative environment that reflects our mission and values.
    • Manage the New York Office budget (including facilities, events, and supplies) and monitor expenses to ensure cost efficiency.
    • Partner with IT and Facilities vendors to ensure seamless workplace functionality (WiFi, security access, equipment, onboarding, off boarding, etc.).
    • Ensure the New York office facilities and operations are in compliance with all local safety, accessibility and operational regulations. 

    • Firm-Wide Workplace Leadership
    • Provide direction and oversight for the firm's shared services responsibilities, including the direct management and development of the San Francisco Office Manager.
    • In collaboration with supporting teams (HR, Finance, IT, Compliance, Admin, etc.) lead the development, documentation, standardization and execution of internal operational processes in order to provide clarity and consistent practice across the firm (e.g. facilities planning, remote/hybrid work practices, workplace safety/security, guest/welcome programs, meeting management, mail, gifting, on/offboarding, etc.).
    • Provide backup administrative support to the Administrative Team during PTO and other peak work times, ensuring seamless operations and continued productivity. This includes managing schedules, coordinating meetings, preparing documents, and handling correspondence to maintain efficiency in the absence of primary administrative staff.
    • Build a scalable operating model for the shared services and facilities function that can adapt to future growth, new office openings, and potential global expansion.
    • Proactively identify and assess shared services needs across offices and implement data-driven, cost-effective, and efficient solutions.
    • Serve as a key operational partner to the HR team, ensuring that all workplace and shared service practices support a positive, compliant, and inclusive firm culture.
    • Support business continuity planning and emergency response protocols in partnership with supporting teams.

Role Requirements:

    • 5+ years of progressive experience in administrative leadership including office management and operations, ideally within professional services, financial services, or fast-paced/start-up, high-growth environments.
    • Proven success leading, managing, and mentoring administrative staff, including experience managing other office/operations managers, across multiple locations.
    • Successful track record of successfully designing, documenting, communicating and implementing firmwide operational systems and processes.
    • Demonstrated experience with budget management, financial forecasting, and contract negotiation with key facilities and operations vendors.
    • Strong organizational, project management, and vendor management skills.
    • Excellent communication and interpersonal abilities, with a talent for building trust across multiple offices, hybrid/global teams and levels.
    • Ability to balance firmwide consistency with respect for local office cultures.
    • Comfort working closely with all levels of the organization and with handling sensitive information with discretion.
    • Proficiency in office technology platforms (Google Workspace, Slack, Zoom, etc.).
    • NYC-based, with the ability to be in the New York office during core hybrid days (Tuesday - Thursday) and as needed. Willingness to travel occasionally (e.g., 1–4 times per year) to other office locations as needed.

$110,000 - $160,000 a year
The 2025 annual salary and bonus range for this role, is $110,000 to $160,000. Final compensation will be determined by considering a range of factors, including the candidate's experience, skills, and qualifications.
