We have an open position for experienced Executive Assistant Business Partner. This role will report directly to both our CFO & CTO, and will shape the future of Metaplex, and Solana NFTs. Significant previous administrative experience is required.

About the Role

While entirely remote, Executive Assistant Business Partners (EABPs) partner with Metaplex’s leadership to provide sophisticated administrative and operational support, while also contributing to projects that help drive business priorities, strengthen team collaboration, and morale. We're looking for an EABP to support our CFO and CTO and their respective teams.

What You’ll Do

  • Provide high-level and proactive administrative partnership to the finance/legal and engineering teams and manage complex calendars using Google Calendar including vetting, prioritizing, and providing recommendations
  • Help ensure leaders are properly prepared and on time for all meetings
  • Assist with the scheduling of multiple stakeholder meetings
  • Contribute to leadership meetings by taking notes and tracking action items
  • Assist with event planning and meeting management for quarterly team on-site meetings
  • Facilitate the development of the leadership team and full team through creation, communication and monitoring of priorities and organizing activities that build the team toward achieving these priorities
  • Make domestic and international travel arrangements and process travel expense reports based on direction from traveler
  • Draft detailed travel itineraries and provide remote assistance with logistics and travel arrangements with input from traveler, including visa processing
  • Follow up and provide reminders on project deadlines and deliverables
  • Assist with the Admin program for the org by helping with alignment, coverage, morale, training and development, and coordinating recruitment, and on-boarding new hires
  • Will work on other tasks and projects as assigned
  • Preview and provide feedback regarding team expense reports, and assist with managing budget
  • May assist with facility/space planning logistics

Preferred Qualifications

  • Bachelor’s degree preferred or equivalent practical experience
  • Experience supporting multiple leaders and complex teams
  • Passion for leadership development, coaching, training, and communications required
  • Experience working with executive leadership
  • Strong technical capability in Google Calendar, Google Workspace, Zoom and Slack
  • Previous experience working with senior leadership in a fast-paced, ever changing environment
  • Demonstrated ability to prioritize leaders’ calendar with minimal instruction or supervision
  • Experience with budget management
  • Ability to work with confidential information
  • Experience owning complex projects from start to finish
  • Proven track record of structuring calendar cadence to support long term business objectives
  • Excellent communication skills with ability to build strong relationships with both internal and external stakeholders
  • Strong organizational skills with a strong attention to detail
  • Ability to proactively identify business needs and opportunities to add value
  • Demonstrates optimism, respects others and works well in a team
  • Experience implementing processes and systems to optimize leaders’ time
